Cancellation Policy

Welcome to Rupa’s Surf Camp in Arugam Bay. We understand that travel plans can change, and we aim to keep our cancellation policy fair, transparent, and professional for all guests.

Updated Policy – 2026

1. Booking Confirmation

  • All reservations are confirmed only after receiving the required deposit or full payment.
  • A 30% non-refundable deposit is required to secure all bookings, accommodation, surf sessions, and activities.

2. More Than 30 Days Before Arrival

  • The 30% booking deposit is non-refundable.
  • Remaining balance will be fully refunded.
  • Guests may alternatively choose booking credit valid for 12 months.

3. 14–30 Days Before Arrival

  • 50% of the total booking amount will be charged.
  • Remaining balance will be refunded.

4. 7–14 Days Before Arrival

  • 75% of the total booking amount will be charged.
  • Remaining balance will be refunded.

5. Less Than 7 Days Before Arrival

  • No refund will be provided.
  • Full booking amount will be charged.

6. No-Show Policy

  • Guests who fail to arrive on the scheduled check-in date without prior notice will be considered a no-show.
  • No refund will be issued.
  • Full booking amount will be charged.

7. Reservation Changes

  • Date changes are subject to availability.
  • We always do our best to accommodate schedule changes whenever possible.
  • Any price differences caused by seasonal rates or package adjustments may apply.

8. Early Departure

  • No refunds will be provided for early departures.
  • Unused accommodation nights are non-refundable.
  • Missed surf lessons, transport services, activities, or excursions are non-refundable.

9. Weather & Surf Conditions

  • Surfing and ocean conditions naturally vary throughout the year and cannot be guaranteed.
  • Refunds will not be provided due to weather conditions, rain, storms, wave size, surf quality, ocean conditions, or personal preference regarding surf conditions.
  • Guest safety remains our top priority, and activities may occasionally be modified depending on weather or ocean safety conditions.

10. Airport Transfers & Third-Party Activities

  • Airport transfers, safari tours, lagoon tours, photography sessions, and third-party activities may have separate cancellation conditions.
  • Applicable conditions will be communicated before confirmation.

11. Force Majeure

  • Rupa’s Surf Camp is not responsible for cancellations, delays, or interruptions caused by events beyond our control.
  • This includes natural disasters, government restrictions, flight cancellations, political unrest, pandemics, and extreme weather events.
  • Whenever possible, we will work with guests in good faith to reschedule bookings.

12. Refund Processing

  • Approved refunds are typically processed within 7–14 business days.
  • Refund timing may vary depending on your bank or payment provider.
